This is not a new platform or software.

It is a simple structure for delivering the right message to the right donor at the right time—using the films we’ve created together.

This guide shows you exactly how to put that system into practice using the tools you already have.

Different donors need different messages. This system helps your organization match the right films to the right stage of the relationship.

Typical timing: immediately after first gift, then 7–10 days later

Step 1 — Segment Your Donors

Create four basic donor groups inside your CRM or email platform:

  1. New Donors

    • First-time gift or new to your organization

  2. Active Donors

    • Have given more than once but are not recurring

  3. Monthly Donors

    • Ongoing, recurring support

  4. Major Donors

    • High-capacity or high-trust supporters

If your system allows tagging, simply tag donors into these groups.
If not, create separate lists.

This is the foundation of the system.

Step 2 — Match Each Film to a Donor Stage

Each film serves a specific purpose in building trust:

  • Mission Trust Film
    → Introduces who you are and why your work matters

  • Impact Story
    → Shows that your work produces real outcomes

  • Donor Testimonial
    → Reinforces trust through social proof

  • Monthly Giving Film
    → Invites deeper, ongoing participation

  • Stewardship Film
    → Affirms donors and shows continued impact

These are not one-off pieces.
They are used repeatedly at different points in the donor journey.

Step 3 — Create Simple Donor Sequences

You will create a short sequence of emails for each donor group.

Each sequence should include 2–4 emails maximum.

New Donor Sequence (Example)

Email 1 (Immediately after gift)

Email 2 (7–10 days later)

  • Impact Story

Email 3 (30 days later)

  • Invitation to Monthly Giving

Active Donor Sequence

  • Stewardship Film (quarterly)

  • Occasional Impact Stories

Major Donor Sequence

  • Impact + Vision

  • Major Giving Film

  • Direct follow-up (personal outreach recommended)

Keep each email simple and focused on one idea.

Step 4 — Set Timing and Triggers

You do not need complex automation.

Start with these simple triggers:

  • New donation → New Donor Sequence

  • Second gift → Active Donor Sequence

  • Monthly signup → Monthly Donor Sequence

  • Major donor identified → Major Donor Sequence

If automation is available, set this up inside your email platform.

If not, these sequences can be sent manually on a schedule.

Consistency matters more than complexity.

Step 5 — Where These Films Are Used

These films should be used across your communication channels:

  • Email sequences (primary use)

  • Donation confirmation pages

  • Website (key pages)

  • Social media (supporting exposure)

  • Campaigns and events

The goal is not for a donor to see a film once.

The goal is for them to encounter your message repeatedly over time.

Step 6 — What to Expect

When implemented consistently, this system helps:

  • Increase donor retention

  • Improve conversion to monthly giving

  • Create a more consistent and clear message across all communication

This system works over time through repetition and clarity—not one-time exposure.
